Role

We are looking for an organised, proactive, and detail-oriented Office Manager to oversee the smooth day-to-day running of our office and administrative operations.

This is a key role within the business, supporting the Director and working closely with HR, payroll providers, and external suppliers to ensure our office, compliance processes, and administrative systems operate efficiently.

The ideal candidate will be highly organised, confident managing multiple priorities, and comfortable handling both operational administration and compliance responsibilities.

 

Responsibilities

Office Operations & Administration

• Manage day-to-day office administration to ensure efficient operations.
• Maintain office supplies and conduct regular inventory checks.
• Process invoices, bills, and utilities while maintaining accurate financial records.
• Use AutoEntry to process and organise accounting documentation.
• Handle general business administrative tasks across the organisation.

Supplier & Utilities Management

• Manage and review utilities and service contracts.
• Negotiate with suppliers and service providers to ensure competitive rates and service quality.
• Monitor contract renewals and maintain supplier relationships.

HR Support

• Provide ad hoc HR administrative support when required.
• Coordinate with HR and payroll providers to ensure employee documentation is accurate and up to date.
• Maintain staff records, policies, and employee handbooks.
• Ensure the staff rota/schedule is kept up to date.

Compliance & Health & Safety

• Ensure health and safety documentation and compliance records are maintained and current.
• Support the business in maintaining relevant associations, regulatory requirements, and compliance documentation.

Facilities & Maintenance

• Coordinate repairs, maintenance, and security contracts for the office.
• Liaise with contractors and service providers to ensure work is completed efficiently.

Business Support

• Work closely with the Director to support and improve internal business processes.

Role

Berganza is a specialist dealer in antique and period jewellery, working with rare and historic pieces from the Georgian, Victorian, Edwardian, and Art Deco periods. We are seeking a highly organised Stock & Jewellery Inventory Manager to oversee the handling, documentation, and movement of our jewellery and gemstone inventory.

This role requires exceptional attention to detail, discretion, and a strong appreciation for fine antique jewellery. The successful candidate will play a key role in maintaining the accuracy of inventory records, supporting acquisitions, coordinating gemstone documentation and laboratory submissions, and preparing jewellery for photography, exhibition, restoration, and sale.

Working closely with the director and internal team, the position is central to ensuring the careful management and presentation of Berganza’s collection.

Responsibilities

• Maintain precise and detailed inventory records for all jewellery, gemstones, and related stock.
• Receive, inspect, and record incoming acquisitions from auctions, dealers, and private sellers.
• Organise and maintain the secure storage of jewellery and gemstones within stockroom safes.
• Conduct regular stock counts and audits to ensure the accuracy and integrity of inventory records.
• Monitor and record the movement of jewellery between company locations, workshops, exhibitions, and international consignments.
• Ensure all jewellery is correctly labelled, catalogued, and documented in accordance with internal systems.
• Liaise with internal teams to investigate and resolve any stock discrepancies.
• Prepare jewellery pieces for photography, catalogue production, exhibitions, shipping, workshop restoration, and sale.
• Maintain inventory records using internal stock management systems and spreadsheets.
• Assist with domestic and international acquisitions, including the handling and documentation of pieces purchased from auctions and dealers.
• Support the gemmological documentation of jewellery and gemstones within the collection.
• Carry out preliminary gemstone assessments to assist with identification, documentation, and potential laboratory submissions.
• Coordinate the secure submission of gemstones to recognised gemmological laboratories for certification and reports.
• Maintain records of gemmological laboratory submissions, certifications, and reports.
• Work closely with dealers, suppliers, and auction houses to coordinate consignments, acquisitions, and stock transfers.
• Manage correspondence and arrange appointments relating to jewellery offered to Berganza for potential purchase by the director.
• Assist in coordinating viewings of jewellery offered to the business by members of the public, trade professionals, and auction representatives.
• Diamond and gemstone assorting: select and match diamonds and coloured gemstones for jewellery repairs and restoration, ensuring consistency in cut, colour, clarity, and period‑appropriate appearance.

Skills & Experience

• Strong organisational skills and meticulous attention to detail.
• Experience handling fine jewellery, gemstones, or luxury goods preferred.
• Knowledge of diamonds and coloured gemstones essential.
• Gemmological knowledge, including confidence in identifying and assessing diamonds and coloured gemstones.
• Understanding of the manufacture and construction processes of antique jewellery.
• Interest in antique, vintage, and period jewellery.
• Experience with inventory systems and stock management.
• Ability to handle high‑value items with care, discretion, and professionalism.
• Strong communication skills when coordinating with workshops, dealers, auction houses, and gemmological laboratories.
